The General Disposal Authority for Reproduced (Source) Records is the official and continuing authority that allows for the legal destruction of source records, that have been successfully digitised, migrated or converted.

During 2024-25 the SRO undertook a full review of RD 2016-002 to update it and to bring it in line with the requirements of disposal authorities for reproduced records across Australia and New Zealand. 

The new General Disposal Authority for Reproduced Source Records, GDA 2025-013 has now been published for use, along with the Records Management Advice - Digitisation of Paper Records

The major changes in the updated GDA 2025-013 include:

  • Change of language from Source Records to Reproduced Source Records in line with the wording in the State Records Act 2000.
  • Removal of the requirement for organisations to maintain reproduced records for 6 months. It will now be up to the agency to determine the risks. This is consistent with other GDAs for Reproduced Records across Australia and New Zealand that can destroy after quality assurance checks have been completed.
  • Addition of conversion and migration along with digitisation. There has not previously been any clear guidance on how long converted and migrated records should be maintained.
  • Addition of Section 4 - At risk and vulnerable records / State archives. The addition of this section acts as a prompt for organisations with records in danger of being lost to deterioration that are unsure what to do.
