We collect your personal information to establish authority for one party (a representative) to transact on behalf of another party (an entity) as we can:
- Establish and manage secure access to the online service;
- Capture who completed the application, approval, report, form or other submission as per the requirements of the individual lodgement;
- Contact you to request more information or follow-up on matters; and
- Send you reminders or communications relevant to the online service
We collect:
- the entity
- the representative
- the online service
- a start date
- an optional end date and
- the status
Where the entity or representative is a:
- person then we collect the name and email address of the person.
- business then we will collect the names of the business and the ABN, ACN, or other unique identifier. A business is any commercial or volunteer entity which is not a natural person and includes sole traders.
Providing this information is voluntary but, if you do not provide it, you will not be able to transact on behalf of other parties within the relevant online services. You can contact the relevant department for more information about alternative off-line options.
Your information is automatically shared with the online service you are accessing which will be one or more of the following:
Department of Local Government, Industry Regulation and Safety
- BondsOnline
- FuelWatch Industry
- Short-Term Rental Accommodation Register (STRA)
Department of Mines, Petroleum and Exploration
- Resources Online
Department of Water and Environmental Regulation
- Environment Online
The relevant online services may also retain a copy of your information for operational purposes. For further information about how your personal information is handled, refer to the Privacy Collection Notice applicable to the relevant online service.
When making a request or accepting an invitation, you must consent to the sharing of your personal information. Consent is requested once; not each time you sign in. You can withdraw your consent at any time by removing the authorisation.
Once established, authorisations can only be removed. Name or email address are updated if the details associated with the person’s sign in account or the business change. No other updates are permitted. Removals may be automatically shared with the online services you have previously accessed.
Staff managing one online service do not have permission to view authorisations relating to another online service.
