Collection of personal information

BigRedSky and the Public Sector Commission of Western Australia, acting as the system service provider on behalf of participating Western Australian public sector agencies, collects personal information to create and manage your application account and communicate with you about your applications and public sector recruitment activities.

The personal information collected may include your name, contact details, and job application account credentials. You may choose to provide recruitment information to Western Australian public sector agencies as part of application processes in the system including employment history, qualifications and any documents or information you choose to provide in support of your job applications. You may also choose to provide additional information directly to recruiting agencies as part of the recruitment process.

Purpose of collection and use

Your personal information is collected and used for recruitment and employment related purposes at the Western Australian public sector agency where you have applied for a job.

Requests to provide information

Generally, you know if we are collecting your personal information because we, on behalf of the advertising agency, ask you for it. For example, if you submit an application or subscribe to receive updates, you need to provide application related information like your name, contact details, work history and other information to the advertising agency.

Automatic collection through the website use of cookies

When you visit the application system, some statistical information is collected about how you interact with the website for example when you visited, what you do on the site and whether you complete any transactions on the website. The Commission uses cookies to collect this type of information. A cookie is a small block of data that is shared between a web server and your computer browser.

If you do not want cookies to be placed on your computer, you can disable them using your web browser. If you opt out of using cookies, some of the features on this website may not function fully and your ability to browse, read and download information may be impaired.

Automatic collection by third parties

We use online tools to gather information about visitors to our website and to help us improve our website and deliver government services. To do this, we use software provided a third party vendor, Google Analytics, which is a web analytics service that collects data about how you use our site and services. We only collect anonymous information. No identifiable personal data is collected.

Use of web analytics data

We use the information collected about how you use the application system and how the website performs during your visit for statistical and system administration purposes. We do this to help:

  • monitor and understand usage trends to make sure the application system is meeting the needs of its users
  • understand and enhance your experience of the application system for example, to improve content or make performance improvements
  • monitor and protect the application system from cyber security threats

We do not use this information to identify you or match it with any other personal information we collect from you.

Disclosure of personal information

Your information may be disclosed to:

  • the relevant Western Australian public sector agency or agencies for the jobs you apply for
  • third party recruitment service providers that have been engaged by the agency or agencies you have applied to, to assist with the recruitment process. You are encouraged to read the privacy statement of the agency where you have applied
  • BigRedSky as the contracted system service provider operating the application system on behalf of the Public Sector Commission. You can find more information in BigRedSky’s General Privacy Policy

Your personal information will not be disclosed for purposes unrelated to the above unless authorised by law or with your permission.

User control

You control the information in your account and may update or remove information at any time. You may also request permanent deletion of your account, subject to legislative and recordkeeping obligations under the State Records Act 2000 WA.

When an account is deleted or consent is withdrawn, your account is deactivated immediately.

De identified and aggregated information

Your information may be used in de identified and aggregated form for whole of sector workforce reporting analysis.

Data security

Your personal information is stored securely in accordance with the Western Australian Government Cyber Security Policy 2024, Information Classification Policy 2025 and the Privacy and Responsible Information Sharing Act 2024 with access restricted to authorised personnel on a role related basis.

Retention and disposal

Personal information is retained and disposed of in accordance with the State Records Act 2000 WA and General Retention and Disposal Authority DA 2023 004, section 48.

Where information has been used to support a recruitment decision for example shortlisting or selection, those records are retained separately by the agency at which you applied for a longer period, typically up to seven years, in accordance with approved State Records retention authorities.

Automated decision making

The application system does not use automated decision making that produces legal or significant effects without human involvement.

Your rights

You have the right to access and correction your personal information stored in this system. You can access this information at any time within your account.

You have the right to request deletion of your account information, subject to legal and recordkeeping obligations.

You also have the right to request access to, and correction of your personal information provided to the advertising agency as part of any recruitment process you participate in. You have the right to submit an enquiry to the advertising agency where you submitted your information as part of the application process if you feel your privacy rights have been interfered with.
