Online Duties: Change of agent

Initiate or approve a transfer of a transaction when a change of agent has occurred.

This function will be available in Online Duties from 6 February 2026.

Use the Change of Agent function to transfer transactions into your Revenue Online (ROL) account or from your ROL account to another ROL agent when a change of agent has occurred.  This function transfers the bundle with all associated information, including any approved EVR or licensed valuations.

To use this function, the transaction must be in Western Australia and have a status of ‘Assessed’.  

Transactions can’t be transferred if:

  • there is an EVR is pending
  • there is an approved substitution or
  • a sub-sale transaction is involved.

The Change of Agent menu option is only available for the following roles:

  • Administrator
  • General User - Duties Assessments
  • General User - Endorsements
  • General User - Online Duties Enquiry (view only)

To initiate a transfer, the releasing party (previous agent) must provide the releasing Client ID, Bundle ID and execution date to the requesting party (new agent).  RevenueWA can’t provide the relevant details of the transaction or arrange contact between agents.

Request to transfer a transaction into your ROL account

If you are the new agent acting on behalf of your client and you have the relevant transaction details from the previous agent, initiate the transfer request by completing the following steps:

  1. Log into your ROL account and go to the ‘Change of Agent’ screen from the Online Duties homepage.
  2. Under the ‘Requesting Party – Transactions to be transferred into your ROL account’ section, select ‘Add’, enter the relevant details of the transaction and select ‘save’.
  3. The request will appear in the table under the ‘Requesting Party’ section. Select the relevant transaction and submit the transfer request to the previous agent.

Once the request has been submitted, a notification email will be issued to both you and the previous agent. The previous agent will have 7 days to approve the transfer.

If the transfer is not approved within the 7 days, the transfer request will automatically be declined and a new request will need to be submitted. 

Once the transfer has been approved, the transaction will be moved into your ROL account and will be a given a new Bundle ID, and a record of the transfer will be generated under the ‘Transaction Transfer History’. 

Approve a request to release a transaction from your ROL account

If you are no longer acting on behalf of your client and have arranged a transfer with the new agent, approve the request by completing the following steps:

  1. Log into your ROL account and go to the ‘Change of Agent’ screen from the Online Duties homepage.
  2. Any transfer requests you have received will appear under the ‘Releasing Party – Transactions to be transferred from your ROL account’ section. Review the details of a transaction then select ‘Approve’ or ‘Decline’.

Once you have received a transfer request from the new agent, you will have 7 days to approve the transfer or it will automatically be declined.

After approving the request, both you and the new agent will receive an email notification and the transaction will be removed from your ROL account.

A record of the transfer will be generated under the ‘Transaction Transfer History’.

Change of agent records

From the ‘Change of Agent’ screen under the Transaction Transfer History, you can view transactions that have been transferred into or out of your ROL account.

If a transaction has been transferred out of your account via the Change of Agent function, your Transaction Log will still record all relevant actions relating to the transaction.

You can search for any transferred transactions in the ‘Search Transactions’ screen by using the old Bundle ID or searching for transactions with a transaction status of ‘Transferred Transactions’.
